License/Subscription Expired, Exceeded License Count or No Longer Licensed

Overview

This article describes the behavior of GFI Archiver when the licensing requirements are not met. This includes scenarios where the license has expired, the number of licensed users is exceeded, or the product is no longer licensed. In these situations, core functionality such as archiving and search is restricted until licensing compliance is restored. Understanding how licensing impacts functionality is critical for maintaining uninterrupted operation.

 

Diagnosis

 

If the license limit is exceeded, the server no longer has the license or the license expires the system stops working. Archiver runs in a subscription model with licensed users counted.  To restore functionality to the system administrators must reduce the license count, update the license to the new number of users, or renew the expired license. 

 

Solution

 

When GFI Archiver exceeds its licensed user count or the license is no longer valid, the application will restrict key features. The following functionality will be affected:

  • Emails will no longer be archived from the journal mailbox. Emails will remain in the journal mailbox but will not be processed by GFI Archiver.

  • The Archive Assistant and File Archive Assistant will no longer archive items.

  • Search functionality will be disabled.

All other features of GFI Archiver will continue to operate as expected. Once licensing compliance is restored—either by updating the license or reducing the number of users—the restricted features will automatically resume normal operation.

To restore licensing compliance:

  1. Review Current Usage:

    • Navigate to the licensing section in Configuration > Change License key.

    • Review the number of Enabled Users and which accounts or mailboxes are currently consuming licenses.

  2. Reduce Licensed Users (if applicable):

    • Adjust Archive Restriction Options to exclude unnecessary users from archiving.

  3. Update or Renew the License:

    • Contact the GFI reseller used to purchase the license or use the GFI Reseller and Distributor Finder to locate authorized partners.

    • If a new license key is acquired, follow the steps in the article Viewing and Editing License Keys to enter the updated key.

Administrators can find the count of Enabled Users and which accounts or mailboxes are using a license and use this data to adjust Archive Restriction Options to bring the licensed user count under the limit.

Alternatively, if administrators need to adjust their license count, contact the GFI reseller used to purchase the license or Find Authorized GFI Resellers and Distributors.

If a new key is purchased, follow Viewing and Editing License Keys to enter the updated key and restore functionality. 

 

Testing

 

After resolving the license issue by either restricting users or entering a valid key:

  • Go to Configuration > Change License key and verify that there are no license errors.

  • Confirm that the number of counted users is within the licensed limit.

  • Ensure that archiving and search functionality have resumed normal operation.
